Security and Access Codes
Service Hours are 1:00pm to 3:00pm daily.
Keys and access codes are assigned in our office, usually by Facilities Assistants. Faculty and staff will be assigned keys and codes that provide access to their areas of work and study, including exterior doors, offices, labs and the mailroom. Certain master keys require approval from the Dean of Engineering.
Keys and Omni Codes
Keys and codes for graduate and undergraduate students require authorization from their sponsoring faculty or the Instructional Lab Manager. Authorizations must be sent via email to our ticketing system email address in advance of the student's need. They should state the student's name, the room(s) to be accessed and the estimated duration of that assignment. Students obtain keys and codes in person. Students must have identification.
E2 Access Cards
Access cards for graduate and undergraduate students require authorization from their sponsoring faculty or the Instructional Lab Manager. Access cards for staff members require authorization from their supervisor and cards for faculty require authorization from the department manager. All authorizations must be sent via email to our ticketing system email address in advance and the email must include the reason why they need the card, what areas the holder needs to access, and an end date.
There is no deposit required for assignment of keys, omni codes, or access cards. The omni codes operate the keypad locks found on computing and instructional lab doors. Omni codes are reviewed quarterly and unauthorized codes are deleted quickly and regularly.
Doors to secure rooms should never be propped open or blocked in any way.
Phones
Our office is the source for ordering and making changes to phone service. Pleases Email your requests 15 days in advance to our ticketing system email address listed above. There is a minimum 10 day lead-time for campus telcom after we recieve all of your information. The additional days are to account for chasing down information campus telcom requires prior to taking order.
On your email, please provide
- A billing FOAPAL (account number).
- Approval from responsible party of the FOPAL
- Building/Room for phone and jack number if known.
- If moving phone, please list phone number and old location (Building, Room, Jack).
- Type of service desired; digital or analog
- Type of connection allowed: campus only, local calls, long distance
Ericsson digital phones are available for purchase.
Furniture Issues
Whether it be moving, new purchases, repairs, disposal or ergonomic adjustments, email your questions to our ticketing system email address listed above. We have limited funding and very limited off-campus storage space. We have a few assorted furniture items on hand and may be able to fill your request quickly.
New furniture purchases require a long lead-time, as much as 12 weeks, for delivery. As soon as you recognize the need for new furniture contact us to begin the ordering process. Baskin SoE has developed a standard range of components and colors for furniture. We can select from this standard and assist you wherever possible.
Repair, Maintenance and Cleaning Requests
If an emergency where personal safety or building damage is at risk, please directly call facilities personel. Otherwise for general repair, maintenance and cleanding requests, please email these to our ticketing system email address listed above.
These requests can include everything from desk adjustments, leaking ceilings, broken or difficult furniture, dirty carpet, heating and cooling problems, room name tags to lock repairs. We will generate the proper work order or meet with you to examine the problem.
Please keep in mind we do not supervise the trades staff in Physical Plant who make these repairs. It is not always possible to schedule their work or to track the status of the work order.
Deliveries
All deliveries should go to BSOE/BELS Recieving located in Room 40 of Jack Baskin Engineering Building (JBEB).. In CruzBuy this delivery location is coded SOERCV.
BSOE Recieving is located just off the loading dock for JBEB at the West End basement level. A phone is available just left of the JBEB Room 40 door. When given adequate notice, we will meet delivery vehicle and record the condition of goods received.
Before ordering anything of size or weight, such as laser tables, freezers, large lab equipment, please contact facilities to ensure the equipment can be allowed into the building, that it will fit through doors and that infrastructure needed for it will be in place. If you order something before meeting with facilities, the equipment may end up sitting outside or in an insecure place. If the item is too heavy, too big or simply not allowed by the Fire Marshal, you will be responsible for the return.
Furniture Moves and Surplus

Requests to move furniture, office contents, and lab equipment should be emailed to our ticketing system address listed above. For major lab moves, we ask for 30 days advanced notice. For office moves, 20 days notice is needed. Most of this time is for telephone moves which require 15 days advance notice.
In advance of your move we will visit with you to discuss your needs and expectations. We prepare a scripted move list for the workers to follow and, as much as possible, clearly tag every item and location. We have developed an information form to help you prepare for the move, and we provide tags for tagging your items. We will bring these things to you upon request. We will provide boxes.
For efficiency and safety the movers request that you not be present during a move. With our preparations and proper labeling everything should go smoothly and quickly.
We will help you prepare space for setup and moves. Where we have them, we will provide floor plans.
Other Services of the Facilities Office
- We provide liaison to the Fire Marshal, Physical Plant, Physical Planning and Construction, custodial operations and Environmental Health and Safety.
- We provide planning and project management for renovations, coordinate furniture installations, and follow up on warranty corrections.
